Process when Migrating to Google Workspace

Google Workspace (formerly G-Suite) is ubiquitous and many companies are moving for the productivity and coherence of services. Everyone wants to know, how does this process actually work. 

Procedures when Migrating to Google Workspace:​

Week 1 (4-5 hours of Labor)

• Have your whole team fill out the Migration Questionnaire. Set a 1-week deadline to expedite this process. 
• We'll review the backend logins for the Domain/DNS, and Source email server. 
• We'll set up the Google Workspace admin account and user accounts. 
• Discuss with you the priority of users email migrations to google, larger/senior accounts get priority (balance server load). 
• Being the automated migrations. 
• Discuss Data file migrations, as needed (google drive, dropbox etc).
• Discuss contact, calendar, migrations. 

Week 2 (1 hour per user, as needed)

• Review all users that have offline email / POP email (email not in cloud). Schedule remote sessions with users to collect email and prep for manual upload to Google.
• Review all users that have mail signatures, mail filters/rules, mail aliases. Schedule remote sessions with users to manually migrate these items.
• Begin manually uploading specific users' Offline email.
• Begin on data migrations, if needed. 
• Begin contact, calendar, migrations, as needed. 

Week 3 (1-2 hours)

• Review the automated migrations from Week 1. 
• Begin Lower Priority automated email migrations for the rest of the users.   

Week 4 (1-2 hours of labor)

• Schedule final date for DNS server switchover, when the whole company moves to the new google service. 
• Review all migrations for completion.
• Send video tutorials on how to set up your devices with the new Google Account, and remove old email account. 
• Start automated migration of email from the past month to catch all email up to date. 
• Change DNS MX records, and move the company to the new server. 

Week 5

• Fix any issues as needed. 

This process can go faster if the company doesn't need any offline email uploads, and has low GB data count for email accounts.
